Everything you would like to know before planning your wedding in Italy


Planning a destination wedding from abroad raises many questions. Here I have gathered the ones couples ask me most often, from the choice of destination and venue to budget, paperwork and the way we will work together.

Where to get married in Italy

DESTINATIONS, VENUES AND POSSIBLE SOLUTIONS


Italy offers destinations that are very different from one another, and the choice depends on the style of the wedding, the number of guests, the season and the available budget.

Among the most requested destinations are Tuscany, Lake Como, the Amalfi Coast, Puglia and Rome, as well as art cities such as Florence, Siena and Venice.

Tuscany is ideal for couples who dream of historic villas, vineyards and countryside landscapes; Puglia offers masserie, olive groves and a Mediterranean atmosphere; Lake Como is particularly suited to elegant and exclusive weddings in historic villas; the Amalfi Coast offers spectacular sea views, while Rome and the other art cities offer a unique historical and architectural heritage.

The destination must also be chosen with logistics and budget in mind. For example, Lake Como and the Amalfi Coast can be significantly more expensive than other Italian destinations, especially for exclusive venues, accommodation and transport.

My role is to help the couple find the destination and the venue best suited to their project, without starting from a predefined choice.

I plan destination weddings in several Italian regions and I do not work exclusively with a small group of venues, although I very often work in Umbria, Tuscany and Rome.

For every couple, the search starts from the specific features of the event: style, number of guests, time of year, logistics, desired services and budget.

My experience naturally allows me to recommend venues I know personally and consider right for the couple’s needs, but the choice is never tied to a fixed list.

The venue search does not simply start from the most beautiful pictures, but from the real requirements your wedding needs to meet.

Before adding a venue to the shortlist, I check essential elements such as capacity, availability, spaces, style, logistics, accessibility for guests, any restrictions of the property and the required budget.

A venue may have the view you have always dreamed of, but if it cannot comfortably host your guests, presents logistical difficulties or requires an investment far above what you planned, it is probably not the right choice for your project.

This is why I do not think it is useful to visit a large number of venues without an initial selection. My goal is not to show you as many venues as possible, but to find the ones that can truly become the right place for your wedding.

This approach helps avoid, right from the early stages, compromises that could become too restrictive as planning moves forward and limit the chance to create a personal, harmonious and truly special event.

The venue search should therefore be a process of conscious selection, in which inspiration and feasibility go hand in hand.

Wedding planning services

DESIGN, PLANNING AND COORDINATION


The service is built around the couple’s needs and can include full wedding planning, venue and vendor search and selection, logistics management, coordination, event design and support with legal paperwork.

I mainly offer three packages: full planning, semi planning and wedding day coordination, which can be tailored to the complexity of the event.

Full planning is the most complete service and accompanies the couple from the very first stage of the project all the way to the wedding.

It normally includes overall planning, logistics management, vendor search and coordination, and the styling and design of the event.

Depending on your needs, specific services can be included or added, such as the venue search, the organisation of the ceremony, support with the paperwork for a civil wedding, assistance with a religious or symbolic ceremony and the search for a professional celebrant.

I also coordinate the graphic and visual communication of the event, such as welcome signage, seating chart, menus, place cards and other printed elements.

Semi planning is designed for couples who have already organised part of their wedding on their own, but would like the professional support of a wedding planner to complete and coordinate the project.

Together we define what has already been arranged and what still needs to be developed, avoiding overlaps and working on the couple’s real needs.

Yes. Wedding day coordination is designed for couples who wish to organise their wedding on their own, but want to entrust a professional with the coordination of the event and the vendors.

The goal is to let the couple and their families enjoy the wedding without having to deal with logistics, timings or any unexpected issues.

Wedding budget and costs in Italy

INVESTMENT, BUDGET AND EXPENSE MANAGEMENT


The cost of a destination wedding depends on many factors: number of guests, destination, length of the event, venue, catering, accommodation, transport, decor, entertainment and level of personalisation.

As a guideline, an upscale or luxury wedding lasting 2 to 3 days, with around 50 to 80 guests, can start from €50,000 and exceed €100,000.

This is of course an indicative estimate: the final cost can vary significantly depending on the destination, the type of venue and the quantity and quality of the services chosen.

A wedding in an exclusive use historic villa, with several days of events, guest accommodation and a fully customised design requires a very different investment from a single dinner in a restaurant.

During the first consultation we look at the type of wedding you have in mind and your priorities, so that we can build a realistic budget forecast.

My fee is calculated according to the type of event, the number of guests, the complexity of the project and the services requested.

In most cases a fixed fee is agreed, to which any extra services can be added.

For particularly complex events, a percentage based on the services requested and agreed with the couple may be added to the fixed fee.

To assess a budget properly, I need to know at least the number of guests, the time of year, the destination, the type of venue, the length of the event and the main services you would like.

An exclusive use Renaissance villa, for example, cannot cost the same as a dinner organised in a restaurant with shared spaces.

This is why, when a couple contacts me, I ask them to fill in a questionnaire with the main information about their project. This information allows me to prepare a first realistic estimate and to identify the priorities on which to focus the budget.

Yes. Accommodation and transport can be managed as an integral part of the project, according to the couple’s needs and the available budget.

If the couple wishes to include these services in their budget, I can take care of finding and coordinating the most suitable solutions.

If, on the other hand, guests prefer to make their own arrangements, I can provide a selection of useful accommodation and services, leaving them to handle the bookings directly.

For international couples

DOCUMENTS, CEREMONY AND LEGAL REQUIREMENTS


Yes. Foreign couples can legally get married in Italy, even if they are not resident in the country.

The procedure and the documents required depend on the nationality of the couple, their personal situation and the type of ceremony chosen.

A civil wedding requires a specific procedure with the relevant Town Hall and, in some cases, with the consular or diplomatic authorities of the couple’s home country.

I can support the couple with the paperwork, the contacts with the relevant authorities and the scheduling of the necessary appointments.

The documents required vary according to the nationality of the couple, their personal situation and the type of wedding.

For this reason there is no single list that applies to all international couples.

During the planning I check with the couple which procedures need to be followed and support them in their contacts with the relevant authorities, the Town Hall and, when necessary, the embassy or consulate.

Yes, but the three types of ceremony have different features and requirements.

A civil ceremony is legally binding and requires the completion of the procedures set out by Italian law.

A religious ceremony follows the rules of the religious denomination concerned and, in the case of a Catholic wedding, must be coordinated with the civil requirements of Italian law.

A symbolic ceremony is not legally binding and offers greater freedom in the choice of location, ceremony structure and celebrant.

I can support the couple in organising the ceremony of their choice and in coordinating the professionals involved.

For a destination wedding I recommend starting the planning well in advance, especially when the couple would like an exclusive venue, a very popular period or an event lasting several days.

The ideal timing depends on the destination, the number of guests and the complexity of the event.

For international couples it is also important to plan ahead for paperwork, travel, accommodation and transport.

How we will work together

PLANNING, COMMUNICATION AND COORDINATION


Yes. I personally follow my clients’ weddings from the start of the planning through to the day of the event.

Being present at the wedding is an integral part of my service: it allows me to know every detail of the project personally and to coordinate the work of the vendors.

Only in case of genuine impossibility or force majeure would I ask an equally experienced and properly briefed colleague to replace me.

It depends on the type and complexity of the event.

For weddings with particular logistical needs or a large number of guests, I recommend the presence of a second or, if necessary, a third wedding planner from my team.

The number of professionals involved is therefore decided according to the real needs of the wedding, with the aim of ensuring precise coordination and a quality service.

I do not accept weddings that overlap with another event already confirmed.

I believe every couple deserves my full attention, and I do not think it is right, during a wedding, to be dealing at the same time with the details or unexpected issues of another event.

Depending on the length and complexity of the wedding, I also try to leave at least one day between one event and the next, so that I can work with the necessary attention and preparation.

I do not think it is right to set a maximum number of emails or messages in advance: every couple has different needs and every wedding requires a different level of assistance.

Important decisions and confirmations are formalised by email, so that there is a clear record of what has been agreed.

WhatsApp is mainly used for quick communications and for needs close to the event.

Video calls are scheduled according to the different stages of the planning, to check progress, make important decisions or develop new ideas for the design and services of the wedding.

To ensure clarity and security, confirmations and changes to services must come directly from the couple or from people formally authorised by them.

You do not have to work exclusively with the vendors I usually collaborate with.

Over the years I have built a network of reliable professionals whose working methods and quality of service I know well, but I am also happy to work with vendors chosen directly by the couple or with professionals offering particular services.

When it comes to a vendor I have never worked with, I check their professionalism as far as possible and invite the couple to make sure they hold all the permits required to work legally in Italy.

However, I cannot personally guarantee the quality of a professional I have no previous experience with.

Vendor contracts normally include specific terms in case of cancellation or force majeure.

In an emergency I still try to support the couple in finding an alternative solution, drawing on my network of professionals and my knowledge of the local market.

Experience and a reliable network of vendors are especially important precisely when an alternative has to be found quickly.

Contracts are signed directly between the vendor and the couple.

My role is to check that what has been agreed is correctly reflected in the contracts and that, during the planning, the agreed service is maintained as expected.

Payments are also made directly by the couple to the vendors. I nevertheless keep track of deadlines and amounts to keep the overall budget of the event under control.

Contracts and terms

CONTRACTS, PAYMENTS, POSTPONEMENT AND CANCELLATION


I do not use a single standard contract for all weddings. The contract is drawn up according to the services actually requested by the couple.

The main packages are:

Full planning: complete project and planning, logistics, coordination and event design, with possible additional services for the venue search, the ceremony and the legal paperwork.

Semi planning: professional support for the parts of the planning the couple wishes to entrust to me, while some activities and vendors have already been arranged on their own.

Wedding day coordination: coordination of the event and the vendors during the agreed period and on the wedding day.

The exact scope of the service is always defined before the contract is signed.

In case of postponement, the contract can be put on hold for up to one year and then resumed under the agreed terms.

If the postponement exceeds one year, the fee may need to be reviewed according to the new conditions, the chosen date and the type of event.

The new date cannot clash with other weddings already confirmed.

In case of cancellation, the fee due is also determined in relation to the work already carried out up to that point.

For this reason, payments are generally split into several instalments, so that the fee is paid progressively in line with the work done.

The specific terms are always set out in the contract signed by the couple.

Why choose a destination wedding planner in Italy?


Organising a destination wedding from abroad means coordinating venues, vendors, logistics, accommodation, transport, timings and, in some cases, legal procedures in a country other than your own.

My role is to be a single point of reference for the couple and to turn all these elements into a coherent and manageable project, with that personal touch that makes the wedding a truly Italian experience.

My experience allows me to know the features of the different destinations, select reliable professionals, assess the feasibility of each choice and coordinate every element so that the wedding truly reflects the couple’s style and expectations.
